1. Purpose
This Privacy Policy explains how Traizr, a trading style of Decoded Group Limited (‘Traizr’, ‘we’, ‘our’ or ‘us’), collects, uses, stores, protects and processes personal data when providing the Traizr mail tracking and delivery management platform.
Traizr is committed to protecting personal information and processing it in accordance with the UK GDPR, EU GDPR and the Data Protection Act 2018.

Traizr generally acts as a Data Processor on behalf of its customers, who act as the Data Controller.
3. Information We Process
- Identification Information: Full name, employee ID (optional), company, department, job title.
- Contact Information: Email address, telephone number (optional), delivery location.
- Delivery Information: Parcel tracking information, courier information, delivery history, collection history, proof of delivery images and signatures.
- Technical Information: IP address, device identifier, mobile device model, browser type, operating system and application logs.
- Authentication Information: Where Google OAuth is enabled, Traizr stores the authenticated Google email address solely for authorising outgoing email on behalf of the customer’s installation. Use of Google API data complies with Google’s API Services User Data Policy, including the Limited Use requirements.
4. How Information Is Collected
Information may be collected through manual entry, CSV imports, customer system integrations, barcode scanning, the mobile application, proof of delivery photographs and signatures, customer support interactions, and system monitoring.
5. Why We Process Personal Data
To identify recipients, track deliveries, maintain chain of custody, send notifications, record proof of delivery, provide audit trails, generate reports, support customer enquiries, maintain platform security and prevent fraud.
6. Lawful Basis for Processing
Where Traizr acts as a Data Processor, processing is carried out under the instructions of the Data Controller. Where Traizr acts as a Data Controller, processing is based on performance of a contract, legitimate interests, legal obligations or consent where applicable.
7. Data Sharing
Traizr does not sell personal information. Data is shared only with the customer operating the platform, approved infrastructure providers, where required by law, or to protect legal rights and safety.
8. SMS/Text Messaging
If you provide a mobile number to receive parcel notifications, we use it only to send you transactional SMS about parcels and mail addressed to you. Mobile numbers collected for SMS are never sold, and are not shared with third parties or affiliates for their own marketing or promotional purposes. You can opt out at any time by replying STOP. 9. Sub-processors
Current sub-processors include Fasthosts (hosting and infrastructure) and Acronis (backup and disaster recovery). All are subject to appropriate contractual and security obligations.
10. International Data Transfers
Data is primarily processed within the UK and EEA. Where international transfers occur, appropriate safeguards such as the UK IDTA or EU Standard Contractual Clauses are used.
11. Data Retention
Personal data is retained only for as long as necessary to provide the service or comply with legal obligations. On termination, customer data may be exported, production data securely deleted and backups removed in accordance with retention schedules.
12. Security
Traizr implements appropriate technical and organisational measures including TLS encryption, MFA, role-based access controls, secure Linux infrastructure, firewalls, monitoring, vulnerability management, disaster recovery, encrypted backups and regular software updates.

13. Cookies
The website uses cookies to maintain sessions, remember preferences, improve functionality and analyse performance. Consent is obtained for non-essential cookies where required.
14. Your Rights
Individuals may have rights of access, rectification, erasure, restriction, objection, portability, withdrawal of consent and complaint to a supervisory authority. Requests relating to customer data should normally be directed to the relevant Data Controller.
15. Data Breaches
Traizr will notify the relevant Data Controller without undue delay following any personal data breach affecting customer information and will provide reasonable assistance.
