Ethos is where an institution running Banner or Colleague already keeps the answer to "who is this person and where are they living?". The mailroom is usually the last team to get told.

The gap matters because a campus post room is not dealing with a stable list. Students arrive, defer, withdraw, move hall, change name. Every one of those events is handled properly in the student record system and then has to travel to the mailroom somehow, which in most institutions means a person, a report and an email attachment.

The obvious cost is the work. The less obvious one is confidence: when the parcel room is not certain the list is current, staff start double-checking, holding items back and ringing departments. That is where the time actually goes.

Pulling persons and housing assignments from Ethos means the mailroom is reading the institutional record rather than a copy of it. If housing updated an assignment this morning, that is what the post room sees.

Ethos is the integration layer in front of Banner and Colleague, so this is one connector rather than a separate build per underlying system.

How the integration works

Set up once, then it runs without anyone thinking about it.

  1. Connect it

    You give Traizr read access to Ellucian Ethos. Traizr only ever reads from your system; it does not write back into it.

  2. Map the fields

    Decide which field is the recipient name, which is the email, and which carries the room, unit or department. Done once, at setup.

  3. Set the schedule

    The sync runs on a schedule so the recipient list keeps itself current. Nobody has to remember to export anything.

  4. Parcels start matching

    From then on, an item scanned at the door is matched against a live recipient list, and the notification goes to the right person at the right location.

Questions people ask

Do we need Banner and Colleague configured separately?

No. Ethos sits in front of them, so Traizr talks to Ethos and the underlying system does not change what is required at the mailroom end.

Is the connector read-only?

Yes. Traizr reads persons and housing assignments to build a recipient list. It does not write into Ethos or into Banner or Colleague.

Can we limit it to certain populations?

Field mapping is done at setup, so you decide which records become recipients. Institutions commonly scope it to students in residence rather than every person record held.

What about staff post as well as student parcels?

Staff can be maintained alongside the synced student records, or fed from a second source. The two lists sit in the same Traizr account without interfering.

How does this help at the start of term?
